JOB TITLE:
Administrative Assistant
 
JOB PURPOSE:
You will work for a forward thinking, innovative software company based in Derry. This company values their customer needs and is constantly evolving to ensure that they deliver the most advanced technology on the market.
 
You will assist Director, Office Manager & Other Senior Managers with daily clerical & administrative functions.
 
RESPONSIBLE TO:
CEO (Chief Executive Officer)
 
MAIN TASKS & DUTIES
Responsibilities – (Key Areas)
 
  • Handle administrative requests & queries from Senior Managers
  • Assist with preparation of monthly financial reports, cash flow statements, bank reconciliations, petty cash etc.
  • Preparation of all invoices for customers.
  • Paying all supplier invoices.
  • Preparing claims for public body funding.
  • HR Duties to include booking annual leave, dispensing contracts, keeping HR files up to date etc.
  • Organising & scheduling appointments
  • Solely responsible for arranging & booking all travel which includes flights,
  • accommodation, car hire etc.
  • General Office Management
  • Update & maintain office policy procedures
  • Submit & reconcile monthly expenses
  • Provide general support to visitors
  • Assisting with management of all utilities/suppliers including sourcing alternatives  when required.
 
Job Requirements – (Knowledge, Skills, Experience)
Essential
 
  • At least one year experience in a busy accounts role
  • At least two years in a busy administrative role
  • Ability to work to tight deadlines
  • Knowledge of Quickbooks/Sage
  • Ability to take direction
  • Must be proficient in Microsoft Office including Word, Excel and Outlook.
  • High level of accuracy and attention to detail
  • Excellent interpersonal and communication skills
 
Desirable
 
  • Experience in HR function
  • Experience in Finance/Accounts
  • Qualification in Finance related discipline

  • Self-disciplined and capable of working under pressure to tight deadlines
  • Good written and oral communication skills
  • Professional manner with good customer facing skills
